What is Consolidated Item Listing

A consolidated view in procurement combines similar product line items into one entry, streamlining supplier quoting. This simplifies the process by allowing suppliers to provide quotes once per product, improving efficiency for both buyers and suppliers.


Also, Aerchain lets you choose the fields based on which the consolidation should happen.


For example, let's take RFQ. In RFQ the customer can create multiple line items with the same product but with different other dimensions like delivery address, Budget, etc. And when the consolidation is enabled based on product ID. The repeated products are consolidated into one entry. The varying dimensions are displayed in columns.


This process makes it easy for the customers to visualize the list of items they are about to procure. for suppliers, quoting is made easy. The list of line items is now reduced.

1. Purchse Request (PR)
2. Request for Quote (RFQ)
3. Bill of Quantities (BoQ)


How to Use Consolidation

Follow the below steps to use consolidation. I have used the RFQ module to explain the consolidation.


  1. Log in to Aerchain.
  2. Click New RFQ under Request for Quotes.
  3. Fill in the Items in the items section.
  4. Toggle the Show Consolidated View.


You have successfully used the consolidated view feature.


Pivot Settings Explained

Pivot settings are where the consolidated view is configured.

The Show Consolidated View toggle. Toggle to see the consolidated view. Untogle to go back to the regular view.
Pivot Settings icon. A click on this icon will open the pivot settings.
The consolidation grouping is based on the selected fields. For example, suppose the Product Name is designated as a grouping field. When the consolidated view is enabled, all the line items that have the same product fields will be consolidated into one line item.

Non-common fields are the ones whose values differ. For each consolidated line item, all the non-common fields that were in rows were moved to columns.
Let's take an example, before using consolidation, 10 laptops for the sales team and laptops for testing teams will be two separate line items. After consolidation, the Laptop is now one line item. Quantity for Sales and Testing are two separate columns on the same line.


These are the pivoting fields. That is, these are the fields that become columns. In the example given here, the Qty is selected as Pivot Field and that became a column. Now based on that pivot column, the plants have to be chosen for each line item. In the second example, the Pivot fields have been changed to Plant and the column has been changed to the Plant name.

The number of times the consolidated Qty is to be repeated.

In this example: The repetition count is 3. That means the Plant & Qty is repeated 3 times.

The fields that require an aggregate value. In this example, Qty is the aggregate field and the aggregate (Total) value is displayed at the end of each line item.
