What is OCR

OCR is the abbreviation of optical character recognition.


OCR (Optical Character Recognition) is the technology that distinguishes printed or handwritten text characters inside digital images of physical documents, such as a scanned paper document. The basic process of OCR involves examining the text of a document and translating the characters into code that can be used for data processing. 


OCR is sometimes also referred to as text recognition.


Why do we Use OCR in Aerchain

Aerchain allows users to upload invoice copies.


The data in the uploaded invoice copy should be filled in the corresponding invoice entry created on Aerchain. This can be done manually. Rather, we use OCR to extract and fill corresponding fields.


How to Upload an Invoice for OCR via Aerchain Portal

Follow the below steps to upload the invoice copies to use OCR.


NOTE

The document extraction process in the system is configured to run every three minutes.


  1. Log in to the Aerchain portal.
  2. Click the Modules icon.
  3. Click Invoices under Invoices.
  4. Click New > OCR Upload.
    ✔️The OCR extraction overlay opens.
  5. Click Browse to choose a file and upload.
  6. OPTIONAL: Expand the Additional information expandable.
  7. OPTIONAL: Choose the Invoice Type.
  8. OPTIONAL: Choose the Supplier from the dropdown.
  9. OPTIONAL: Add any Additional Attachments if any.
  10. OPTIONAL: Add Notes and Attachments if any.
  11. Click the Submit button.
    ✔️ The Document extraction will begin.
  12. Click the Review Invoice button.
  13. Correct the fields with warnings.
  14. Click the Submit button.
  15. Click Approve > Yes.

The invoice extraction has been processed successfully.


NOTE

To bulk upload invoices, select multiple documents while uploading.


How to Upload an Invoice for OCR via Email

Aerchain allows you to upload invoices over email for your convenience. Your manager has the email ID to which you should send your invoice copies.
