Once the purchase order is accepted, you can create an Invoice for the particular Purchase order. This article will briefly explain how to create a PO-based Invoice and manage invoices in the mobile app. 


Steps to create an Invoice


  • Go to the Orders module in the dashboard. The PO listing page displays the list of purchase orders. 

  • From the status card, you can select to be invoiced status, to display a list of purchase orders that are either not invoiced, or partially-invoiced. 

  • Select the PO code for which you want to create an invoice. The view page of the purchase order gets open.

  • Proforma Invoice: You can create a proforma invoice, if the customer has enabled an option for the advance payment. Then, you can create the proforma invoice. 

  • Invoice: Click on the Invoice button. On the appearing Invoice form, fill out the necessary information in the form, and click on the Submit button. The purchase order status changes to invoiced. 

  • You can view and download the invoices from INV&INW section of the purchase order view page. 


Manage Invoices 


You can view all the information related to the Invoices on the Invoice listing page. 


  • First, click on the More button from the dashboard and select Invoices.

  • The Invoice listing page displays all the Invoices and their status. 

  • Status Cards: There are four tabs which display the status of the Invoices. The counter shows how many Invoices are invoiced, processing, disputed and rejected. 

  • Search: You can also search a particular Invoice by entering the Invoice Code in the search field.

  • Filters: You can filter your Invoice listing page by using the Filter button. There are two filters available such as Customer and Status. 

Filter by Customer: You can apply filter by customer to display list of Invoices according to customer. Select one or more checkboxes and click on the Apply button. 

Filter by Status: There are many Invoice statuses. You can filter out the invoices according to the Invoice status. Select one or more status checkboxes and click on the Apply button. You can also search status from the search field.


View Invoice details: 

If you want to view details of the invoice. Click on the Invoice code. The view page of Invoice gets open. There are three tabs on this page:

Items: It displays all the line items, their quantity, and pricing details. 

Details: General details of Invoice code displays such as Customer, Company, PO date, Expected delivery date, Payment terms, Inward details required, PO-Code, Invoice number, Invoice reference, Facility, Addresses and attached document if any.

Chat: This is used to chat with the customer regarding this invoice and attach the documents, or screenshot if required.
